Ministry Schedule -- Online Ministry Rosters

First let's start with a reiteration.  Using new "Ministry Scheduling Web Terminal" is simply an option.   While we encourage you to give it a try, if you are uncomfortable with it that's OK.   Other than this new feature, nothing has changed in the way scheduling is done.

The first topic focused on using the automated trade system.  Of course there are times that you can not do that, especially at the last minute.

The Web Terminal also contains contact information for others in your ministry. Most ministry leaders have provided this information in the past, and probably still will. But, for times when you don't have that list handy, you can get this information 24/7 from the Web Terminal.  Simply login, and click on the "Rosters" tab.  There you will see a roster for each Liturgical ministry in the system.

Your contact information is of course password protected, and only other liturgical ministers have access to this information.

If you wish to update your displayed contact information, you can use the "My Profile" tab.  Any updates should be posted to the Roster within a week.

Tip:  Would you like to receive schedule reminders at more than one e-mail address?  Simply enter multiple e-mail address separated by a comma.

To login in to the Ministry Scheduling Web Terminal, simply access the Parish Website and click on Ministries...Ministry Schedule. 

Roster information in the Web Terminal is for ministry use only.  Please respect the privacy of your fellow parishioners and do not use this information for solicitation purposes.

Ministry Schedule -- Automated Substitutes and Trades

You may now use the "Ministry Scheduling Web Terminal" to assist in finding a substitute when necessary.  You can use the automated system, or log in to see contact information for other ministers.

This note focuses on automated substitutes and trades.  Note the automated system described here is one option for getting a substitute.  You are not required to use it.

Let's use an example to explain this system.  Suppose the following ministers are all Extraordinary Ministers on June 14th

Alec A -- Scheduled as Cup
Bobby B -- Scheduled as Host
Carol C -- Scheduled as Cup
Dave D -- Not Scheduled on June 14th
Emily E -- Scheduled as Lector
Fay F -- Scheduled in Nursery
George G -- Not Scheduled on June 14th

Now suppose that Alec A can no longer serve on June 14th.  He can log into the Web Terminal and click on the "My Schedules" tab to see his current schedule.  By the listing for June 14th, he can click "Request Sub".  He could also have done this from the original e-mail he was sent with his schedule.

The system will automatically e-mail those who could help him: in this case Dave D, Emily E, and George G.  Bobby B and Carol C would not receive e-mails since they already EMs on that day and can not fill in for Alec.  In addition, Fay F could not fill in because she is in Nursery.  Although Emily E is scheduled as a Lector, she can do both in the same Mass and would get an e-mail.

The request would also show up in the "My Schedules" section of the Web Terminal for Dave D, Emily E, and George G.  They can click on the "Accept Swap" link in the e-mail for web terminal to fill in for Alec A.  When they do so, they also have the opportunity to offer to trade one of their other dates (if any).

Once a substitute is found, the schedule is automatically updated in the web terminal.  Plus, weekly reminder e-mails will now be based on the updated schedule (or old software did not have this feature).

Pros of the system:
Quick and easy to use
E-mails go only to those who can fill in
Anyone checking their schedule online who can fill in can see your request
Automatic E-mail confirmations of the substitution
Schedule on web terminal and future reminders automatically updated

Cons:
You can not request a trade with a specific minister or date/time
Not as personal as a phone call or talking to someone at Mass

Your Ministry Coordinator may provide you with additional information or guidance on requesting substitutes.
 

Ministry Schedule -- Change your Password

If you haven't already done so, you are encouraged to change the initial random password to something easier for you to remember.  Simply log in to the Ministry Scheduling Web Terminal and click on the "My Profile" tab.  Click "Change my login password..." and enter your new password.

Your new password will be encrypted so it is not visible to the Ministry Scheduling admin team.

 


 

POINTS TO PONDER

EXTRAORDINARY MINISTERS OF HOLY COMMUNION

1.        Please arrive to sacristy early in order to check with the celebrant (or deacon) for any special instructions or changes.  Use this time for prayerful preparation.  

2.        The Extraordinary Minister takes his/her place within the congregation, close to the sanctuary.   Please be seated “on the aisle” so that you will not have to “climb over” others at the time to approach the altar. 

3.        Attire should speak of the dignity of your ministry: Insofar as possible-- Ladies in dresses or skirts, Men in ties and jackets.  Please refrain from any sweatshirts or athletic style attire. 

4.        The General Instruction does not prescribe that a minister take the Holy Eucharist from the tabernacle before Communion.  The Instruction presumes that all will receive Communion from the host consecrated at the Mass celebrated.  One would only go to the tabernacle if there were a need for additional hosts and / or to take any remaining hosts after Holy Communion. 

       5. At the reception of Holy Communion, a bow of the head is made when         responding “Amen.”      

6. One receives the paten/ciborium or chalice from the hands of the priest or deacon, i.e. NEVER TAKES IT FROM THE ALTAR. 

  7.  Distribution of the Holy Eucharist:

Ministers of Sacred Host should say to each communicant:  “The Body of Christ’, who bows and responds “Amen.”  A communicant receiving in the hand should not take the host from the hand of the minister, but allow the minister to place the Host in their open palm. 

Ministers of the Precious Blood should say to each communicant:  “The Blood of Christ,” who bows and responds “Amen.”  The communicant takes the chalice with both hands and drinks some of the Precious Blood. 

Using the purificator, the minister “wipes and turns” the chalice.  The purificator should be “turned” as well.     

8.  People are not permitted to “dip” the host into the chalice and receive. 

     Ministers are not to address communicants by name or title:  e.g.      

“Sister, the Body of Christ” “George, the Body of Christ.”  Please use the words given by the Church:  “The Body of Christ” or “The Blood of Christ.” 

            9:   After Mass:

                    St. Anthony:       

An Extraordinary Ministers are asked to remain a few minutes after Mass to assist with the purification.  It is to take place in the sacristy, utilizing the sacrarium.  The Precious Blood must NEVER be poured into the sacrarium.  However, the water used in purification may be poured into it.  Used purificators should be placed in the “drawer hamper” atop the sacristy safe.  Once cleaned, the chalices should be returned to the side table. (or to safe at the last Mass of the day).  Throughout the purification process, please observe a prayerful, reverent demeanor.

OLS:

LECTORS AND EUCHARISTIC MINISTERS
Reminders, Guidelines and updates:  

Attention Lectors:

  • Lectors are reminded it is their responsibility to find a replacement if they cannot attend the mass for which they are scheduled.

 

  • Please arrive 15 minutes prior to mass time for your assignment. Arriving 5 minutes before mass starts is unfair to your fellow lectors who might be in the congregation and are asked to take your place. You can’t assume they will be familiar enough with reading in that short amount of time. It also causes problems for the deacon and celebrant who will have to try and find your replacement.
     

  • Practice, practice, practice!  Whether you know it or not the people attending mass can tell if you have prepared in advance. Please practice the readings prior to the Liturgy of the Word.
     
  • Slow down and take your time!  If you rush through the reading the words run together and their meaning is lost. Pause after the last sentence of the reading for a few seconds and then say, “The Word of the Lord”.  
     
  • Also allow enough time for the words of the responsorial psalm to “sink in” please pause for a short time before you come forward for the second reading.

Attention Eucharistic Ministers:

  • All Eucharistic Ministers are reminded it is their responsibility to find a replacement if you cannot attend the mass for which they are scheduled.
     
  • All Eucharistic Ministers should be standing at the step inside the sanctuary when it is time to receive the Body and Blood of Christ. Please do not make the priest or the deacon come to you to receive communion.
     
  • If you are serving the Body of Christ in the side sections of the church, please remember to take the position in front of the first pew on either sides of the main body of the church if you have finished serving communion in your section.  
     
  • If you are a minister of the Precious Blood and your station is by the exit door of the church on the Holy Family side and there are no more people to receive in your section, please go and stand in front of the cantor stand facing the main aisle. If you are on the tabernacle side please stand in front of the ambo facing the main aisle to help with remaining communicants.
     
  • Please not attempt to transfer the Precious Blood from one cup to another.
     
  • Also the dipping of the host into the cup (intinction) in not allowed.
